Franschhoek Manor — Terms & Conditions

Last updated: 2025/10/30 These Terms apply to direct bookings with Franschhoek Manor (“we/us/our”). By making a booking you accept these Terms.

1) Definitions

“Guest/you” means the contracting guest and anyone in their party. 

“Property/Hotel/Guest

House” means Franschhoek Manor. 

“Festive Season” refers to the period from 20 December to 5 January.

“High Season” means 01 October–19 December and 06 January–30 April. 

“Low Season” means 01 May–30 September. (We may vary season dates each year; current season dates
appear on your confirmation.)

2) Rates & Inclusions

• Rates are quoted in South African Rand (ZAR), per room per night, including VAT unless stated otherwise.

• Rates and inclusions may change without notice until a booking is confirmed in writing.

3) People & Rooms

• Standard occupancy is max 2 persons per room/suite unless a specific family unit is booked.

• Child policy: Children 13+ are welcome in Manor rooms/suites. Children 12 or under are welcome by prior arrangement or for exclusive-use bookings. (Cots/extra beds are limited and must be confirmed in writing.)

• No parties; only registered guests may occupy rooms. Day visitors by prior approval.

4) Check-in / Check-out

• Check-in: 15:00–18:00 (please advise ETA for later arrivals).
• Check-out: by 11:00. Late check-out is subject to availability and a fee.

5) Deposits, Balance & Payment

Direct bookings (1–4 rooms):

Low Season: 50% deposit due within 7 days of booking; balance on arrival.
High Season: 50% deposit due within 3 days of booking; balance due on arrival.
Festive Season: 50% deposit due within 3 days of booking; balance due on arrival.


Groups (5+ rooms) or Exclusive-Use: Tailored terms will apply; confirmed in writing with your group contract.


Payment methods: Major credit/debit cards (we reserve the right to not refund card fees (transaction costs) in the case of any cancellation or situation where funds need to be reversed back to a credit/debit card; the cardholder & ID/Passport must be present at check-in; and the credit card used for the online payment must be present at check-in) or EFT in ZAR to the following bank account:

6) Cancellations, No-shows & Early Departures

Unless a more flexible rate is explicitly confirmed, the following apply to the total booking value (rooms plus pre-booked services):


Low Season:
o ≥14 days before arrival: 10% of deposit retained; balance of deposit refunded or kept as credit.
o ≤13 days: 50% charge.


High Season:
o ≥30 days: 10% of deposit retained; balance refunded/credited.
o ≤29 days: 50% charge.
o ≤7 days: 100% charge.


Festive Season:
o ≥30 days: 10% of deposit retained; balance refunded/credited.
o ≤29 days: 50% charge.
o ≤7 days: 100% charge.


No-shows / early departures:

100% charge. (Where a flexible or promotional rate has different conditions, those will prevail on your confirmation.)


Note: Some comparable Franschhoek properties apply stricter “within 1 month = 100%” policies and/or 21-day prepayment windows; our policy above aims to be guest-friendly yet predictable at luxury level.


We strongly recommend comprehensive travel insurance covering cancellation for any reason.

7) Minimum Stay

A minimum 2-night stay may apply over High and Festive periods or special events, unless otherwise offered.

8) Special Requests & Accessibility

We’ll do our best to honour reasonable requests (dietaries, room location, etc.), but these are not guaranteed.

9) Conduct, Damages & Loss

• The guest is liable for any damage, deep-cleaning, or loss caused by them or their invitees (including smoke remediation).
• The property is a non-smoking environment inside rooms & indoor public spaces. A designated outdoor area may be provided; cleaning fees apply for breaches.
• We may ask any guest who is disruptive, intoxicated, endangering others, or breaching these Terms to leave without refund.

10) Third-Party Services & Activities

Services booked via us but supplied by third parties (e.g., transfers, tours, spa therapists) are subject to the third party’s terms; we act as agent only.

11) Force Majeure

We aren’t liable for failure or delay due to events beyond our reasonable control (e.g., loadshedding, water restrictions, strikes, acts of God). If we must cancel your booking for such reasons, prepayments will be refunded or credited (at our discretion) and shall constitute full settlement.

12) Privacy & Data Protection

We process personal information in line with POPIA and applicable South African law. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be accessed at https://www.gov.za/documents/promotion-access-information-act.

13) Payment Security

Card transactions are processed via a secure PCI-DSS-compliant provider; we never store full card details on our systems. (Provider details appear on the payment page/secure link.)

14) Overbooking / Relocation

In the rare event of an overbooking, we will (at our cost) arrange alternative comparable accommodation or refund you in full—your choice—constituting full and final settlement.

15) Website & Rate Errors

Obvious errors/omissions on our website or booking engine are not binding; we may correct mistakes and will offer to honour or cancel with a refund.

16) Governing Law & Domicilium

These Terms are governed by South African law. Our domicilium citandi et executandi is: Franschhoek Manor, Erf 3462, Dassenberg Road, Franschhoek, 7690, South Africa (or such other address we may publish).

17) Variation

We may amend these Terms at any time; the version in force when you pay your deposit will apply to your stay (unless we both agree otherwise in writing).
